Verification for an EPD that is already being prepared

This route is for a manufacturer, industry association or LCA practitioner who already has a calculation model, background report or draft EPD and needs an independent verifier to review the evidence. The applicant and LCA author respond to findings; a separate competent person makes the programme decision, and the operator publishes the approved declaration. EPD Poland is a voluntary Type III environmental declaration programme operated by Multicert Sp. z o.o.

What to send for EPD verification

Send the files below when available. If the package is incomplete, start with the product, intended market and the material you already have; we will identify the missing items during scoping.

Confidentiality: source data and working files are used for the review. The public document is the approved EPD and its register entry, not the confidential calculation file or invoices.
  1. Application and programme formsThe application for EPD registration, the completed programme LCI data form and the required declaration of no conflict of interest.
  2. Draft EPDAn editable file and a PDF showing the product definition, declared or functional unit, modules, results and scenarios.
  3. LCA background reportThe full report explaining the system boundary, assumptions, allocation, data quality and calculation choices.
  4. Calculation model or reproducible audit trailThe model, exports or documented calculation path that allows the verifier to reproduce and trace the reported results.
  5. Input data and supporting evidenceMaterials, energy, transport, waste, emissions, production volumes and source documents for the reference period, including evidence of conformity with the applicable PCR.
  6. Rules and software versionsThe applied GPI, PCR and c-PCR, databases, datasets and software versions, including any programme-specific assumptions.
  7. Product variants and grouping logicSeparate, clearly named data for every product, plant or variant covered by the declaration, with the reason for averaging or grouping.
Independent review

What the verifier checks

The review is not a copy-edit of the declaration. It tests whether the published results are supported by a transparent calculation and comply with the selected programme route.

Applicable rules

Conformity with the current programme instructions, applicable PCR or c-PCR, EN 15804+A2 or another relevant sector standard, and EN ISO 14025.

Calculation traceability

The connection between primary data, secondary datasets, assumptions, calculations and every value reported in the EPD.

Completeness and consistency

Declared unit, product scope, modules, scenarios, cut-off, allocation, data quality, indicator tables and consistency between the model, report and declaration.

Transparent communication

Required statements, limitations and supporting information, without unsupported comparative, performance or recognition claims.

The verification process

The exact scope depends on the product, documentation and selected scheme. The sequence is stable and keeps preparation, verification and the final decision separate.

Confirm the product, applicable rules, target use and whether an inspection is required by the selected scheme.

Provide the draft EPD, LCA report, calculation route and supporting evidence.

Review

The verifier records findings and requests corrections or evidence where necessary.

Inspection, if required

Extended schemes include a manufacturing-site inspection after a positive document review.

Decision

A competent person who did not verify or inspect the same case reviews the complete record and makes the programme decision.

Publication

After approval, the EPD receives its registration number and is published in the public register.

Result and boundaries

What you receive after approval

The programme output

  • an independently verified Environmental Product Declaration;
  • a programme registration number and public register entry;
  • a transparent record of the applicable rules, declared product and validity;
  • access to the published declaration for buyers, designers and assessors.

What approval does not mean

  • it is not certification of product quality or fitness for use;
  • it does not by itself prove that one product is environmentally better than another;
  • it does not guarantee acceptance by every tender, database or assessment scheme;
  • market-specific acceptance must be checked against the current project rules.

Practical questions

EPD verification questions

Can you verify an LCA prepared by my consultant?
Yes, provided the study and draft EPD meet the applicable programme and product-category requirements. The verifier must remain independent and cannot be the author or consultant responsible for the same declaration.
Can the verifier prepare or correct my LCA model?
The verifier may identify a finding and explain which requirement is not met, but cannot design the solution or prepare the same LCA that they verify. Corrections remain the responsibility of the applicant and the LCA author.
How long does EPD verification take?
The schedule is confirmed after the documentation is checked for completeness. Under EPD Poland GPI v6.0, document review is normally completed within 15 working days after complete documentation is received and may be extended to 25 working days for work requiring particular analysis. Applicant corrections and any required inspection are additional.
Will the approved EPD be public?
Yes. After approval, the declaration receives a registration number and is published in the EPD Poland public register. Confidential source files and the calculation model are not published.
Will an EPD be accepted in every European country?
Not automatically. EN 15804+A2 and EN ISO 14025 establish a common basis, but databases, tenders and building assessment schemes may impose additional requirements. State the intended country and use before the scope is agreed.
